RemindPaid Privacy Policy

This Privacy Policy explains how RemindPaid (remindpaid.com), operated by its sole proprietor, handles personal information. It applies to all users in the United States, regardless of state. By using the service you agree to this policy.

What We Collect

From you (the account holder):

• Email address, name, and timezone
• Saved default payment link and late-fee settings
• Invoice details you type in (client name, client email, invoice number, amount, currency, due date, optional payment link and late fee)
• Sign-up referral or UTM source
• Timestamps of any “scan to autofill” uses (for rate limiting only)

Technical data:

• Basic server logs (IP address, browser type, pages visited, timestamps)

What we do not collect or store:

• We never store invoice files (images or PDFs). When you use scan-to-autofill, the file is sent once to Google’s Gemini API and then immediately discarded. We do not log the file contents.
• We never store credit-card numbers. Payments are handled by Stripe.

How We Use the Data

We use the information to:

• Provide the reminder service (send emails on your behalf, honor unsubscribe requests, maintain the suppression list)
• Authenticate your account and keep it secure
• Process payments and manage subscriptions
• Enforce rate limits on scanning
• Improve the service and fix problems
• Comply with legal obligations

We do not sell or share personal information for money or other valuable consideration, and we do not use it for targeted advertising. We honor Global Privacy Control (GPC) signals.

Processors

We use these service providers, who process data only to help us run the product:

• Supabase — database and authentication
• Resend — sending reminder emails
• Google Gemini API — one-time reading of scanned invoices (file is not retained)
• Stripe — payment processing
• Vercel — hosting

Cookies

We use a necessary authentication session cookie so you stay logged in, and a 30-day first-touch referral cookie to track how you found us. We do not use advertising cookies.

Retention and Deletion

We keep your data only while your account is active. You can permanently delete your account (and all associated data) immediately from Settings > Delete account. Backup copies on our providers’ systems roll off according to their normal schedules.

Security

Data is encrypted in transit. Database access uses row-level security so each user can only see their own records. No system is perfectly secure; we cannot guarantee absolute security.

Your Role and Your Clients’ Data

You are the controller of the personal information about your clients that you enter into RemindPaid. We act as your processor. You are responsible for having a lawful basis to email those clients about real invoices.

A client can stop receiving reminders at any time by clicking the one-click unsubscribe link in any reminder or by emailing support@remindpaid.com. Once unsubscribed or marked as spam, the address is added to our suppression list and receives no further reminders.

Your Privacy Rights

Every US user, regardless of state, has the right to:

• Access the personal information we hold about them
• Correct inaccurate information
• Delete their information
• Receive a portable copy of their information
• Appeal a denied request

We will respond within 45 days. Residents of states with comprehensive privacy laws (including California, Virginia, Colorado, Connecticut, Texas, and others) already have these rights by statute; we extend the same rights to users in every state. We will not discriminate against you for exercising these rights.

Children

The service is not directed to children under 16. We do not knowingly collect personal information from anyone under 16. If we learn we have done so, we will delete it.

Data Breach Notice

If a breach of personal information occurs that triggers notification requirements under any applicable state law, we will notify affected users and any required regulators as required by that law.

Changes

We may update this policy. We will post the new version here and, for material changes, notify you by email or in the product.
